About this template

This clinical hours tracker keeps direct client contact and supervision in separate counts and shows how many hours you still need. It is for counselors, therapists and other clinicians working through practicum, internship or residency toward a license, where the board wants the hours split rather than one running total.

The dashboard

Nothing on the dashboard is typed. It fills itself from your log, for all time, this month, last month or the last 3, 6 or 12 months.

• Hours logged in the period and the share of your target reached
• Direct and supervision hours, with the ratio between them
• Progress rings for total, direct, indirect and supervision against what is required
• Hours by month across twelve months, by type, with the running total
• Hours at each placement or setting
• A projected finish date at your recent pace, days left to your finish-by date and whether you are on track
• Every type of hour with its share, and weekly pace against the pace your date needs

The split a board asks for

Hours logged in the wrong column may not count. This licensure tracker keeps them apart from the start.

• Direct hours with clients and supervision hours counted separately, always visible on the KPI strip
• Your requirement entered on Setup, and the hours left subtracted from it: type 3,000 and it tells you how many are still to go
• A running total on every row, so you can point at any week
• Supervisor and setting on every entry, because an audit asks who signed off and where
• Type and setting chosen from dropdowns, so the totals cannot drift

Light and dark editions

Every download includes a light edition and a dark edition, with every tab restyled and the same formulas in both. Each comes filled with a worked half-year of practicum hours, 24 weeks and 203 hours with 183.5 of them direct, and as a blank copy, in Excel and in Google Sheets.

Check your own board's definitions before you rely on the split. Requirements differ by state, province and profession, and this file counts what you tell it to count. That applies to counseling hours and every other kind.

Frequently asked questions

Do I need Excel, or can I use Google Sheets?

Either. The download has Excel workbooks for Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to copy the Google Sheets versions with a free Google account.

Can it track direct hours and supervision separately?

Yes. Direct client hours and supervision hours are counted apart and shown on the KPI strip, with the ratio between them on the dashboard.

Can I set my own hours requirement?

Yes. Enter your requirement on Setup and the tracker subtracts the hours you have logged to show what is left.

Does it follow my state board's rules?

It counts what you tell it to count. Requirements differ by state, province and profession, so check your own board's definitions before relying on the split.

What is the difference between the light and dark editions?

Only the look. Both have the same six tabs and formulas, and both are included in every download.
