About this template
This login tracker is an inventory of your online accounts: what exists, how well each one is protected and what should happen to it if you are not there. There is deliberately no password column. Keep your passwords in a password manager and keep the overview here.
Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).
The layer above your password manager
A password manager stores secrets. This account inventory records the facts around them, so you can run your own account audit and see where your online security is weakest.
- Two-factor, with the kind: app, security key, SMS or none, each counted. SMS-only is flagged amber rather than green, because it is the method most easily taken from you.
- Account recovery: whether a recovery method is set, yes or no, and counted
- Password age: the days since each password was changed
A plan if you are not there
One column says what should happen to each account: close it, pass it on, memorialize it, download it first, or nothing. It is the reason many people look for a file like this, and it turns the list into part of a digital estate plan.
What it holds
- 200 accounts across eleven categories
- Two-factor type counted, with SMS-only flagged amber
- Recovery set, yes or no, counted
- Days since the password changed
- A plan for every account if you are not there
- No password column, and none should be added
- A Tasks tab for everything the main tab does not cover, and a dashboard reading all of it
Five connected tabs: Start Here, Setup, Accounts, Tasks and Dashboard. The example copy holds 30 accounts, with seven on no two-factor, seven on SMS only, six with no recovery set and eight passwords older than two years. The blank copy is ready for your own accounts, and the Start Here tab walks you through setup in a few minutes.
This file has no password column and one should not be added. Keep passwords in a password manager; keep the inventory here.

- No dynamic arrays, no macros, no add-ins and no subscription
What you download
- Two Excel workbooks: the filled example and a blank one
- The instruction guide, with one-click links to the Google Sheets versions (filled and blank)
- The terms of use as a PDF

Frequently asked questions
Does it work in Excel and Google Sheets?
Yes. The Excel workbooks run on Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to copy the Google Sheets versions with a free Google account.
Where do I put my passwords?
Not in this file. There is deliberately no password column and one should not be added. Keep passwords in a password manager and use this file as the inventory.
What does it track for each account?
The category, the kind of two-factor in use, whether recovery is set, the days since the password changed and what should happen to the account if you are not there.
Why is SMS two-factor shown in amber?
SMS is counted as two-factor but flagged amber rather than green, because it is the method most easily taken from you.
How many accounts does it hold?
200 accounts across eleven categories.
