About this template

This teacher gradebook calculates a weighted average that does not punish a student for work that has not come back yet. It is for classroom teachers who want grades, attendance, standards and parent contacts in one file, with a dashboard that shows who needs attention this week.

Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).

The dashboard

Nothing on the dashboard is typed. It fills itself from what you enter, and a week picker lets you view the whole term or any teaching week.

  • Class average: the weighted term average, with the change on last week
  • The class average on every assessment against the at-risk line
  • Marking pile: marked against still to mark, for every week of the term
  • This week's lessons: class and topic in every period of the timetable
  • Marked work below your at-risk level, week by week
  • Homework, quizzes, tests and projects side by side
  • Weekly attendance against the concern level you set
  • Students at risk, lowest averages first, with grade, attendance and flag
  • Coming up: tests, trips and parents' evenings from the Term Calendar

A weighted average that is fair

The weighted average divides only by the weights of the categories a student actually has work in. Leave a cell empty because the work has not been handed back, and it costs the student nothing. This is the most common fault in gradebooks, and the reason so many first-term averages look like a disaster.

  • Weighted averages across six categories, with your own weights
  • Grade boundaries you set, and can rename if your school uses numbers
  • An attendance tracker out of five sessions a week, with the percentage calculated
  • Class average and lowest score for each assignment

At-risk alerts, standards and parents

  • At-risk alerts driven by two thresholds you set on Setup, a grade line and an attendance line. Three different signals give three different verdicts, because a child struggling with grades and a child missing school need different conversations.
  • Standards mastery for twenty outcomes across the whole class, color-coded, so you can tell a parent which skills are secure and which are not yet
  • A parent log, counted back into the alerts, so the at-risk list tells you whether you have already called home

Light and dark editions

Every download includes a light edition and a dark mode template edition. Every tab is restyled, not just the dashboard, and both share the same formulas. Each comes filled with a term already under way and as a blank copy, in Excel and in Google Sheets. Everything reads one marks grid, so nothing is typed twice in this grade tracker.

Works with

  • Microsoft Excel 2016 or later, on Windows or Mac
  • Google Sheets with a free Google account. The Google Sheets version is a real workbook, not a PDF with a link in it.
  • No dynamic arrays, no macros and no add-ins, so it behaves the same on Excel 2016, 2019, 2021 and Microsoft 365 and in LibreOffice
  • No subscription

What you download

  • Light edition: the Excel workbook filled with a worked example, and a blank one
  • Dark edition: the same two files in the dark design
  • The instruction guide, with one-click links to the Google Sheets versions (light and dark, filled and blank)
  • The terms of use as a PDF

Frequently asked questions

Does it work in Excel or Google Sheets?

Both. The Excel workbooks run on Excel 2016 or later on Windows or Mac, and the instruction guide has one-click links to the Google Sheets versions for a free Google account.

Does a missing assignment count as a zero?

No. An empty cell is not a zero, and the weighted average divides only by the categories a student has work in.

How are students flagged as at risk?

You set a grade line and an attendance line on Setup. Students below either are flagged, with different verdicts for grades, attendance or both.

Can I track standards as well as grades?

Yes. The Standards tab tracks mastery of twenty outcomes for every student, color-coded.

What is the difference between the light and dark editions?

Only the look. Both have the same tabs and formulas, and both come in every download.
