About this template
This multi project tracker puts every project on one row and shows whether it is truly ahead or behind. It is for project and program managers who run several projects at once and need to know which one to walk into on Monday morning.
Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).
The portfolio view
A project that is 40% done a third of the way through is ahead. One that is 40% done four fifths of the way through is not, and a progress bar alone cannot tell them apart. The Portfolio tab compares how much of the work is done with how much of the calendar has gone, and that gap turns a project amber before anyone has to admit it is slipping.
- Every project on one row, with ahead or behind calculated
- Five status states driven by the numbers, not by how the week felt
- Delivery budget and annual operating impact for each project, with totals across the portfolio
- The demo holds eight projects, 72 tasks and 478,000 of delivery budget, with exactly one project at risk, named, and the number that says why
The full project engine underneath
Behind the project portfolio dashboard sits a complete project management workbook. Everything reads one task list and one charter, so nothing is typed twice or moved from one tab to another.
- A charter and a task register with room for 1,000 tasks and 100 projects
- A real Gantt chart drawn from your own start and end dates
- A Kanban board and an Eisenhower matrix over the same task list
- Deliverables, a risk register for risks and issues, resources, stakeholders and costs
- A single-project dashboard with a picker at the top
Calculated, not typed
- Every percentage, count, day and total is calculated for you
- Charts redraw from your own numbers, not static pictures
- Fourteen connected tabs, with a Start Here tab that walks you through setup in a few minutes
Filled in from the start
The filled copy opens with eight projects and 72 tasks already running, so the portfolio view is populated the moment you open it and you can see how each status is reached. The blank copy is ready for your own projects.
Works with
- Microsoft Excel 2016 or later, on Windows or Mac
- Google Sheets with a free Google account. The Google Sheets version is a real workbook, not a PDF with a link in it.
- No dynamic arrays, no macros and no add-ins, so it behaves the same on Excel 2016, 2019, 2021 and Microsoft 365 and in LibreOffice. No Microsoft 365 subscription is required.
- No subscription
What you download

Frequently asked questions
Does it work in Excel or Google Sheets?
Both. The Excel files run on Excel 2016 or later on Windows or Mac, and the instruction guide has one-click links to the Google Sheets versions for a free Google account.
How does it decide whether a project is on track?
It compares the share of work done with the share of the schedule that has passed. The gap between the two drives one of five status states.
How many projects and tasks can it hold?
Up to 100 projects and 1,000 tasks, all in one task list.
Is there a Gantt chart?
Yes. A real Gantt is drawn from your own start and end dates, and the same tasks also feed a Kanban board and an Eisenhower matrix.
Can I see a single project in detail?
Yes. The dashboard has a project picker at the top, and the charter, deliverables, risks, resources and costs sit in their own tabs.
