About this template

This vinyl record collection tracker is for record collectors who want every pressing, its condition and its value in one searchable list. Type each record once with what you paid and what it is worth today, and a live dashboard shows the whole collection by genre, decade and grade.

The same album in three pressings can be three very different prices. This tracker gives the catalog number and sleeve grade their own columns so you always know which one you own.

Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).

The dashboard

Nothing on the dashboard is typed. It fills itself from what you enter, and a genre picker lets you view all genres or just one while the whole page follows.

  • Gain: what the records are worth now less what you paid for them
  • Records: how many you own, by decade, with the average worth of each
  • Worth by genre: the value of each genre and its share of the collection
  • Biggest gains: the records that have grown most since you bought them
  • Most valuable: the eight records worth the most today
  • Paid against worth now by the year you bought each record
  • By condition: how many records sit in each sleeve grade, mint to fair
  • Wishlist and still to buy: what you still want, must-haves first, whether it is under your price, and your top prices for everything left

What sets it apart

  • Catalog number in its own column: a first pressing and a later reissue are the same album and different money, and the catalog number separates them
  • Sleeve grade as a dropdown: six grades from mint to fair, because that is the column the price moves on
  • Paid against worth: the gain per record in money and as a share of what you paid, with the best single line named
  • Shelf location: where each record sits, which matters once the collection passes a couple of hundred

Inside the workbook

The connected tabs are Start Here, Setup, Collection, Wishlist, Tasks, Bills and Dashboard. The Collection tab holds 400 records with artist, label and catalog number, and the whole collection is totaled for insurance, giving you one vinyl value for everything you own. Tasks and Bills sit alongside for the jobs and costs that come with the hobby, from buying inner sleeves to a trip to a record fair.

The worked example is a music collection of 33 records, with a gain worked out on every line, so you can see how a finished album inventory reads before you start your own record inventory from the blank copy.

Frequently asked questions

Does it work in Excel and Google Sheets?

Yes. You download Excel workbooks for Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to make your own copy in Google Sheets with a free Google account.

Can I record different pressings of the same album?

Yes. Each pressing is its own line with its catalog number, sleeve grade, price paid and value now.

Does it look up record values for me?

How many records can it hold?

The Collection tab has room for 400 records with artist, label, catalog number, grade and shelf location.

Can I keep a wishlist?
