About this template

This cake pricing calculator is for home bakers and small cake businesses who suspect they are charging too little. It adds up every part of an order to give you the real cost per cake, then keeps the year's income and expenses in the same workbook.

Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).

Price custom cake orders from real costs

Nobody undercharges for a cake on purpose. It happens because the butter, the board, the dowels, the box and the ribbon were never added up. The Orders and Components tabs add them up for you, so each quote starts from what the cake actually costs to make.

Categories for a bakery business

The ledger opens on the lines a cake maker uses rather than a generic shop chart of accounts.

  • Income lines: Celebration cakes, Wedding cakes, Cupcakes and treats, and Corporate orders
  • Expense lines: Ingredients, Decoration and boards, Kitchen hire and Packaging, and more

Because wedding cakes and celebration cakes sit on separate lines, you can see which kind of order is worth your weekends.

Twelve connected tabs

Start Here, Setup, Orders, Components, Clients, Income, Expenses, Monthly, Quarterly, Profit and Loss, Balances and Dashboard.

  • 500 income rows and 500 expense rows
  • Monthly and quarterly totals, which is how tax gets filed
  • A profit and loss built from the same two lists
  • 10 client records showing what each customer has been worth
  • Account balances, so the file knows what the business holds
  • A dashboard that reads all of it

A worked year and a blank copy

The example copy follows one baker through a year: 280 income entries and 378 expense entries at a 22.2% margin. The blank copy is ready for your own recipes and orders, and the Start Here tab walks you through setup in a few minutes.

This is a baker bookkeeping spreadsheet, not an accountant. Tax rates and what you can claim are yours to set and yours to check.

Frequently asked questions

Does it work in Excel and Google Sheets?

Yes. The Excel workbooks run on Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to copy the Google Sheets versions with a free Google account.

How does it work out the cost of a cake?

The Orders and Components tabs add up the ingredients, boards, dowels, boxes, ribbon and other parts that go into an order, so you can see the cost per cake.

Will it tell me what to charge?

It shows what each cake costs you to make. The price you set on top of that is your decision.

Can I track wedding cakes separately?

Yes. Celebration cakes, Wedding cakes, Cupcakes and treats, and Corporate orders are separate income lines.

Does it do my tax return?

No. It gives monthly and quarterly totals and a profit and loss. Tax rates and what you can claim are yours to set and check.
