About this template
This cleaning business tracker is for cleaning companies and franchise owners running more than one crew. It shows revenue per hour for each crew and keeps the company's income, wages and running costs in the same workbook.
Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).
Revenue per hour, crew by crew
Two crews billing the same money in different hours are not the same crew. Revenue per hour is the number that runs a multi crew business, and a single income total can never show it. The Crews tab puts that figure next to each crew.
Lines written for a cleaning company
The ledger opens on categories a cleaning franchise actually uses, not product sales and service income.
- Income lines: Commercial contracts, Domestic rounds, One-off deep cleans and End of tenancy
- Expense lines: Crew wages, Supplies and chemicals, Franchise fees and Equipment, and more
- Mileage reasons: contract site, supplier, quote visit and depot, chosen from a drop-down
Commercial cleaning contracts and domestic rounds sit on separate lines, and crew wages have their own line, so the expenses tab also acts as a simple wages tracker.
Twelve connected tabs
Start Here, Setup, Crews, Clients, Income, Expenses, Mileage, Monthly, Quarterly, Profit and Loss, Balances and Dashboard.
- 500 income rows and 500 expense rows
- Mileage with your own reasons and the year totaled
- Monthly and quarterly totals, which is how tax gets filed
- A profit and loss built from the same two lists
- 10 client records showing what each has been worth
- Account balances, so the file knows what the business holds
- A dashboard that reads all of it
A worked year and a blank copy
The filled copy runs a full year with 340 income entries and 466 expense entries at a 17% margin. The blank copy is ready for your own crews and contracts, and the Start Here tab walks you through setup in a few minutes.
This is a bookkeeping spreadsheet, not an accountant. Tax rates and what you can claim are yours to set and yours to check.

Frequently asked questions
Does it work in Excel and Google Sheets?
Yes. The Excel workbooks run on Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to copy the Google Sheets versions with a free Google account.
Can I compare my crews?
Yes. The Crews tab shows revenue per hour for each crew, so two crews billing the same amount in different hours look different.
Can I separate commercial and domestic work?
Yes. Commercial contracts, Domestic rounds, One-off deep cleans and End of tenancy are separate income lines.
Does it run payroll?
No. Crew wages are an expense line you record. The file does not calculate payroll or tax; tax rates and claims are yours to set and check.
Does it have room for franchise fees?
Yes. Franchise fees is a ready-made expense line next to Crew wages, Supplies and chemicals, and Equipment.
