About this template

This job costing spreadsheet shows which jobs made money and which did not, at any point in the year. In the demo, eight jobs ran and seven made money; the tracker tells you which one did not. It is built for builders, trades and any contractor who prices and runs jobs.

Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).

Five cost heads on every job

Labor, materials, subcontractor, plant and other are tracked on each job against the contract value and against what you have actually invoiced. Gross profit, margin and a status appear on each row, and the strip at the top counts how many jobs are losing money. That job profit view is the core of the file.

Still to invoice

Still to invoice is the figure that catches contractors out, and it is here for each job and in total: 424,130 across the demo's eight jobs. Invoiced reads the income register, so a progress claim entered once against the job name shows up without being typed twice.

  • Job Costing: 30 jobs, five cost heads each
  • Gross profit, margin and a status per job, with losses flagged
  • Still to invoice, per job and in total

The books behind the jobs

  • 1,000 ledger rows, with two years of demo data in the filled copy
  • Profit and loss by category, with monthly and quarterly views
  • A custom date range, and a year-on-year comparison
  • Every figure calculated: totals, margins and percentages
  • Charts that redraw from your own numbers, not pictures

There are seventeen connected tabs, and everything recalculates from two registers, money in and money out. Nothing is typed twice and there are no pivot tables to refresh. It works as a contractor tracker and a construction budget record for each project cost.

You get a filled-in copy with two full years already entered, so you can click through it working, and a blank ready for your own numbers, in Excel and Google Sheets. There are no dynamic arrays, no macros and no add-ins, and the Google Sheets version is a real workbook, not a PDF with a link in it.
