About this template
This bookkeeping spreadsheet is set up for a delivery driver, with income and costs that match parcel work and the van that makes it possible. It is for owner-driver couriers and self employed drivers who want to see what each kind of job pays and what the vehicle really costs over a year.
Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).
Income lines for courier work
Generic ledgers open on product sales and service income. These lines describe how a courier driver actually gets paid, picked from a dropdown so the year totals cleanly.
- Parcel rounds
- Same-day jobs
- Multi drop bonus
- Waiting time
- Pallet and freight
The van gets more than one line
For a courier, the van is the business, yet a generic template gives it a single line called vehicle. Here van expenses are split across several categories, including vehicle and mileage, vehicle lease, maintenance and tires, and parking and tolls, alongside the other running costs of the job.
Mileage with your own reasons
The mileage tracker gives every trip a reason from a dropdown: round, depot, same-day run or collection. The year's total is a figure you read, not one you rebuild from receipts.
The rest of the ledger
- Income and Expenses: 500 rows each
- Monthly and Quarterly: the totals tax is filed on
- Estimated Tax: an amount set aside as you go
- Profit and Loss: built from the same two lists
- Clients: 8 client records with what each has been worth
- Balances and Dashboard: what the business holds, and the whole picture
- Start Here and Setup: setup in a few minutes
A bookkeeping spreadsheet, not an accountant. Tax rates and what you can claim are yours to set and yours to check.

Frequently asked questions
Do I need Excel, or can I use Google Sheets?
Either. The download has Excel files for Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to copy the Google Sheets versions with a free Google account.
Can I record waiting time and multi drop bonuses?
Yes. Waiting time and Multi drop bonus are their own income lines, alongside parcel rounds, same-day jobs and pallet and freight.
How are van costs recorded?
The van is split across several expense lines, including vehicle and mileage, vehicle lease, maintenance and tires, and parking and tolls.
Will it calculate my tax?
It sets aside an estimated tax amount as you go. It is a bookkeeping spreadsheet, not an accountant, so tax rates and what you can claim are yours to set and check.
How many entries does it hold?
500 income rows and 500 expense rows, plus 8 client records.
