About this template
This food truck bookkeeping spreadsheet keeps daily takings, pitch fees and event bookings in one set of books. It is built for food trucks and caterers who want to see, line by line and month by month, what the business actually keeps.
Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).
Pitch fees you can see
Pitch fees get their own expense category, so a pitch that never pays for itself shows up as a number instead of hiding inside general costs. For a catering business with event bookings on top of street trading, that is usually the first question worth answering.
Two registers, everything else calculated
Money in goes on one tab and money out on another, and you pick a tax rate for each line. The monthly view, the quarterly view, the profit and loss statement, the sales tax worksheet and the dashboard all read those two registers and recalculate. Nothing is typed twice, so no report can disagree with the ledger behind it.
16 connected tabs
The workbook is split into these connected tabs, each reading the same two registers:
- Income: 500 rows, with the tax split out on every line
- Expenses: 500 rows, split the same way
- Setup: your categories, your tax rates and your set-aside percentage
- Monthly, Quarterly and Profit & Loss: all calculated, nothing typed
- Sales Tax: collected against paid, by rate and by quarter
- Estimated Tax: four quarterly set-asides at your own rate
- Custom Range: pick any two dates and every figure follows
- Comparison: this year against last, month by month
- Balances: what each account took in and paid out
- Dashboard: six live figures and the four quarters
- Start Here: setup in a few minutes
The Estimated Tax tab gives you four quarterly tax set-asides at the rate you choose, which makes the quarterly tax bill something you plan for rather than react to. Use it as an expense tracker day to day and as a year-end summary when you need one.
Real files, filled and blank
You get real spreadsheet files, not a PDF with a link in it: Excel and Google Sheets, each filled with a worked example and each blank and ready for your own numbers. The filled copy is the file in the photos, with two full years of demo data so the Comparison tab has something real to compare.

Frequently asked questions
Does this work in Excel or Google Sheets?
Both. You download Excel files that run on Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to make your own copy in Google Sheets with a free Google account.
Where do pitch fees go?
Pitch fees have their own expense category, so you can see what each pitch costs against what it brings in rather than lumping it into general costs.
Can it handle sales tax at more than one rate?
Yes. You pick a tax rate on every income and expense line, and the Sales Tax tab shows tax collected against tax paid by rate and by quarter.
Can I compare this year with last year?
Yes. The Comparison tab sets this year against last, month by month, and the filled copy ships with two years of demo data so you can see it working.
Does it connect to my bank or card reader?
No. There is no bank connection, no add-ins and no macros. You type or paste your income and expenses into the two registers.
