About this template
This freelancer tax tracker puts invoicing, chasing payments and setting tax aside into one file. Every invoice you raise feeds the same ledger the tax set-aside reads, so getting paid and planning for tax become one job.
Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).
The dashboard
Choose Full year or any quarter and the whole page follows. Nothing on it is typed; it fills itself from what you enter.
- Five live cards: income, costs, profit, tax to set aside and tax still to pay, each with its bars
- Each month's income split into costs, tax to set aside and what is yours to keep
- Income by client: who pays you most, and how much of your income the top one makes up
- Cash to keep aside: tax still to pay plus sales tax owing: the cash not to spend
- Paid against owed: each quarter's set-aside, what you paid and its status
- Next payment: what is still owed, when it is due and how many days are left
- What you can claim: your biggest costs by category, plus what your mileage is worth
- Invoices still out: the biggest unpaid invoices and which ones are late
One ledger for invoices and tax
You enter money in on one tab and money out on another, pick a tax rate for each line, and everything else reads those two. The monthly view, the quarterly view, the profit and loss statement, the sales tax worksheet and the dashboard all recalculate. Nothing is typed twice, and no number on a report can disagree with the ledger it came from.
Sixteen connected tabs
- Income: 500 rows, with the tax split out on every line
- Expenses: 500 rows, split the same way
- Setup: your categories, your tax rates and your set-aside percentage
- Monthly: twelve months of income, spending, profit and margin
- Quarterly: the four quarters, with tax due and tax to set aside
- Profit and Loss: every category with its share and the margin
- Sales Tax: collected against paid, by rate and by quarter
- Custom Range: pick any two dates and everything follows
- Comparison: this year against last, month by month
- Balances: what each account took in and paid out
- Invoices: an invoice tracker for what is out, paid, outstanding and overdue, with days late counted
- Clients: billed, jobs, average and last paid, read from the ledger
- Estimated Tax: four quarterly tax set-asides at your own rate
- Mileage: logged at your own rate
- Dashboard: six live figures and the four quarters

What it does for you
It splits sales tax out of every line, nets it quarter by quarter, turns real profit into a set-aside at your rate, ranks every category by share and compares any two years month by month. It is made for self employed people who invoice, chase and dread the quarterly set-aside, and it doubles as an income tracker and expense tracker. The filled copy holds two full years of demo data, so the comparison view has something real to compare.

Frequently asked questions
Can I use it in Excel or Google Sheets?
Both. The Excel workbook runs in Excel 2016 or later on Windows and Mac, and the instruction guide has two one-click links to the Google Sheets versions.
How does it work out how much tax to set aside?
The Estimated Tax tab turns your real profit into four quarterly set-asides at the rate you choose, and the dashboard shows the next payment, its due date and the days left.
Does it track unpaid invoices?
Yes. The Invoices tab shows what is out, paid, outstanding and overdue with days late counted, and the dashboard lists the biggest unpaid invoices.
Can I see which clients pay me most?
Yes. The Clients tab reads billed, jobs, average and last paid from the ledger, and the dashboard shows how much of your income the top client makes up.
Is this tax advice?
No. It is a bookkeeping tool that records and calculates what you enter, at the rates you set.
