About this template
This hair braiding bookkeeping spreadsheet is for braiders and extension stylists who buy hair, use it on clients and want to know what they really earn. It keeps the hair you buy and the hair you charge for on separate lines, so your markup is visible instead of hidden inside the appointment price.
Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).
Set up for a braider business
Instead of the shop accounts most ledgers start with, the categories match a hair extensions business.
- Income lines: Braiding, Extensions and weaves, Maintenance and takedown, and Hair resold
- Expense lines: Hair and bundles, Products and consumables, Chair or room rent, and Tools and equipment, and more
- Mileage reasons: mobile appointment, wholesaler, training and salon, picked from a drop-down
Bundles bought at one price and charged at double that are a markup. If both sit inside one appointment fee, the markup never shows. Here, hair resold is its own income line and hair and bundles is its own cost.
Eleven connected tabs
Start Here, Setup, Clients, Income, Expenses, Mileage, Monthly, Quarterly, Profit and Loss, Balances and Dashboard.
- 500 income rows and 500 expense rows
- Mileage with your own reasons, useful if you work as a mobile hairdresser, and the year totaled
- Monthly and quarterly totals, which is how tax gets filed
- A profit and loss taken from the same two lists
- 10 client records showing what each has been worth
- Account balances, so the file knows what the business holds
- A dashboard that reads it all
A filled year to learn from
The example copy holds 450 income entries and 378 expense entries for one stylist's year, ending at a 32.8% margin. The blank copy is ready for your clients, and the Start Here tab gets you set up in a few minutes. Chair rent, products and travel all land in the same ledger, so nothing needs copying across.
This is a bookkeeping spreadsheet, not an accountant. Tax rates and what you can claim are yours to set and yours to check.

Frequently asked questions
Can I use it in Google Sheets as well as Excel?
Yes. The Excel workbooks run on Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to copy the Google Sheets versions with a free Google account.
Can I see what I make on the hair I resell?
Yes. Hair resold is its own income line and Hair and bundles is its own expense line, so the markup shows in your totals.
I rent a chair. Where does that go?
Chair or room rent is one of the expense lines, so it sits in the monthly, quarterly and profit and loss totals.
Does it track travel to clients?
Yes. The Mileage tab has reasons such as mobile appointment, wholesaler, training and salon, and totals the year.
Will it calculate my tax?
No. It gives monthly and quarterly totals and a profit and loss, but tax rates and what you can claim are yours to set and check.
