About this template
This inventory tracker spreadsheet gives makers and small business shops a stock count that matches what is actually on the shelf. Everything you make and everything you sell is counted off one stock log, so the number on the dashboard cannot drift away from the one in the room.
Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).
The dashboard
Pick all categories or a single one and the whole page follows. Nothing on it is typed; it fills itself from what you enter.
- Stock at cost: what the stock on your shelves cost to make, and what it sells for
- In and out by month: everything made and everything that left, with the count on hand at each month end
- Restock list: lines at or under their reorder level, how many to make and what it costs
- Fastest movers: the products that sold most in the last 90 days
- How many weeks your stock lasts at the pace of the last 90 days
- Value by category, with every share as a percentage
- Stock by location: shelves, stockroom, market box and more
- Not selling: stock with no sale in 90 days, its last sale and the cash it ties up
One file, actually connected
A product is entered once, on the Products tab. The recipe, the pricing calculator, the stock valuation and every order line all read that same row. Change one thing and everything that depends on it follows, with no copying a figure from one spreadsheet into another and hoping you remembered.
Eleven connected tabs
- Products: 120 rows, the one place a product is entered
- Materials: a materials tracker with 120 rows and the unit cost of each
- Pricing: cost, suggested price, your price, and margin before and after fees
- Inventory: stock on hand, valued at cost and at retail
- Orders: 400 lines with profit per line
- Sales: the year by month, with fees and postage taken off
- Stock Log: every batch made and every unit that left, with a reorder level per product that flags itself
- Recipe: the materials in each product, priced from the Materials tab
- Dashboard: six live figures and what each product did
- Setup and Start Here
What it does for you
- Prices every product from its own recipe of materials
- Adds your labor rate and overhead per item automatically
- Shows the margin you actually keep after the platform's cut
- Values your stock at cost and at retail
- Flags anything below your reorder level, or below your target margin
It is a stock tracker, cost tracker and reorder tracker for a handmade or craft business. The filled copy holds a whole year of a working shop, so you can see how it behaves before you type anything.

Yes. The Excel workbook runs in Excel 2016 or later on Windows and Mac, and the instruction guide has two one-click links to the Google Sheets versions.
How many products and orders can it hold?
The Products and Materials tabs have 120 rows each, and the Orders tab has 400 lines with profit per line.
Will it tell me when to restock?
Yes. Each product has a reorder level that flags itself when stock drops, and the dashboard's restock list shows how many to make and what it costs.
Can I track stock in more than one place?
