About this template

This massage therapist bookkeeping spreadsheet is for therapists and small spa practices that want clean books without a generic shop ledger. It records treatments, course bookings, mobile and corporate work and retail sales on separate lines, so you can see what each part of the practice brings in and what it costs.

Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).

Categories for a treatment practice

The workbook opens on the lines a massage or spa business actually uses, not on product sales and service income.

  • Income lines: Treatments, Course bookings, Mobile and corporate, and Retail products
  • Expense lines: Oils and consumables, Room rent, Laundry and Equipment, and more
  • Mileage reasons: mobile treatment, corporate visit, wholesaler and CPD, chosen from a drop-down

Gift vouchers sold in November are not November income. They are treatments you owe someone in January, and a ledger that cannot tell the two apart makes the holiday season look better than it was.

Eleven connected tabs

Start Here, Setup, Clients, Income, Expenses, Mileage, Monthly, Quarterly, Profit and Loss, Balances and Dashboard.

  • 500 income rows and 500 expense rows
  • Mileage with your own reasons, handy for mobile massage, and the year totaled
  • Monthly and quarterly totals, which is how tax gets filed
  • A profit and loss built from the same two lists
  • 10 client records showing what each has been worth
  • Account balances, so the file knows what the business holds
  • A dashboard that reads all of it

A worked year and a blank copy

The filled copy follows one practice through a year: 248 income entries and 356 expense entries at a 48.2% margin. The blank copy is ready for your own treatments, room rent and supplies, and the Start Here tab walks you through setup in a few minutes.

This is a bookkeeping spreadsheet, not an accountant. Tax rates and what you can claim are yours to set and yours to check.
