About this template

This meeting minutes tracker counts what each meeting actually produced and whether any of it got done. It is for managers, team leads and anyone who chairs a recurring team meeting and wants to see which actions are open, overdue or stuck.

Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).

Meetings and actions, linked

This is not meant to replace a notes app for typing. It is built to count what came out of your notes, which a notes app cannot do. Meetings and actions live in two tables, and each action points to its meeting from a dropdown.

  • A meeting log for 80 meetings, with date, attendees and length
  • 250 actions, each tied to a meeting
  • Actions, done and open, counted on each meeting row

A weekly meeting that has raised four actions in six weeks and closed none of them is visible without opening anything.

Owners, due dates and blocked

The Actions tab is an action tracker and follow up tracker in one.

  • An owner and a due date on every action
  • Overdue actions shown in red against today, not left as an unticked box
  • Blocked as its own state, and counted, because waiting on someone else is a different problem from work in progress

Hours in meetings

The length of every meeting is added up into total hours spent in meetings. It is a simple figure, and usually a persuasive one when you are deciding which meetings to keep.

Tasks, Today and the dashboard

  • Tasks: the work that sits outside any one meeting
  • Today: what is due, gathered for you
  • Dashboard: reads the whole meeting organizer at a glance
  • Start Here and Setup: setup in a few minutes

Works with

  • Microsoft Excel 2016, 2019, 2021 and Microsoft 365, on Windows and Mac, and LibreOffice
  • Google Sheets with a free Google account. The Google Sheets version is a real workbook you copy, not a PDF with a link in it.
  • No dynamic arrays, no macros, no add-ins and no subscription

What you download

  • Two Excel files: a worked example with twelve meetings and twenty actions, five still open, and a blank copy
  • The instruction guide, which has one-click links to the Google Sheets versions
  • The terms of use as a PDF

Your files are ready the moment payment clears. The tracker is for personal and business use on your own devices, so please do not share or resell the files. Questions? Reach us through our contact page.

Frequently asked questions

Do I need Excel, or can I use Google Sheets?

Either. The download has Excel files for Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to copy the Google Sheets versions with a free Google account.

How are actions linked to meetings?

Each action picks its meeting from a dropdown. The meeting row then counts its actions, how many are done and how many are open.

Can I see which actions are overdue?

Yes. Every action has an owner and a due date, and anything past its date shows in red against today.

What does the blocked state do?

Blocked is a separate status from in progress, and blocked actions are counted, so work waiting on someone else stands out.

How many meetings and actions does it hold?

Up to 80 meetings and 250 actions.
