About this template
This notary signing agent tracker shows what each appointment actually earned once the drive is paid for. It is for mobile notaries and loan signing agents who run their own books and want to know which title companies and signing services are really worth the trip.
Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).
Net per job, after the drive
A signing fee is not what you keep when the appointment is a long drive away. For every job you enter the fee and the kilometers, the sheet applies your own mileage rate, and a net column shows what is actually left. That one figure is what tells you whose work to keep accepting.
Three hundred signings
The Signings tab logs up to 300 appointments.
- Date, type, company, page count, fee and status
- Ten job types, from loan signing to apostille to jail signing
- Billed but not yet paid, totaled at the top, because signing services pay in thirty days and some do not pay at all
- A printed yes/no on every job, since print and paper come out of the same fee
A full ledger behind it
A notary business is self-employment, so the workbook carries the bookkeeping too, with your notary income and costs in one place.
- Income and Expenses: 400 rows each
- Mileage: a built-in mileage tracker for every trip
- Monthly and Quarterly: totals by period
- Estimated Tax: an amount set aside as you go, so the April question already has an answer
- Profit and Loss, Balances and Dashboard: the overall picture
- Clients, Start Here and Setup: your companies and a few minutes of setup
Works with
- Microsoft Excel 2016, 2019, 2021 and Microsoft 365, on Windows and Mac, and LibreOffice
- Google Sheets with a free Google account. The Google Sheets version is a real workbook you copy, not a PDF with a link in it.
- No dynamic arrays, no macros, no add-ins and no subscription
What you download
- Two Excel files: a worked example of a mobile notary's last two months, including one cancellation, and a blank copy
- The instruction guide, which has one-click links to the Google Sheets versions
- The terms of use as a PDF
Your files are ready as soon as payment clears. The tracker is for personal and business use on your own devices, so please do not share or resell the files. Questions? Reach us through our contact page.
Frequently asked questions
Do I need Excel, or can I use Google Sheets?
Either. The download has Excel files for Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to copy the Google Sheets versions with a free Google account.
How does it work out net per job?
You enter the fee and the distance for each signing. The sheet applies your own mileage rate and shows the fee less the drive.
What types of signings can I log?
Ten job types are built in, ranging from loan signings to apostilles to jail signings, with company, page count, fee and status on each.
Does it help with self-employment tax?
It sets aside an estimated tax amount from the income you record and keeps monthly, quarterly and profit and loss totals. It is a tracker, not tax advice.
Can I see who still owes me?
Yes. Everything billed but not yet paid is totaled at the top of the Signings tab.
