About this template

This podcast planner treats your show as a feed with numbers attached, not just a list of episodes. It is for podcasters who book guests, sell sponsor reads and cut each episode into clips, and want to know which ideas, formats and platforms are actually working.

Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).

One episode plan, and everything reads it

The Episode Plan is an episode tracker for 400 episodes and cuts. The full episode, three clips, the newsletter and the YouTube cut all carry the idea they came from, so nothing is typed twice.

  • Downloads, reviews, follows, saves and shares stored for each episode
  • Engagement rate calculated, then ranked by format, by platform, by pillar and by funnel stage
  • Repurposing shows which ideas you have used to the full and which still have more in them
  • A six-week content calendar built from the plan

The useful question is rarely how one episode did. It is which kind of episode keeps doing well, and the podcast analytics tabs answer that.

Guests as a booking system

The Guests tab is a guest tracker for 120 guests, with who you asked, when, what they do, their status and the episode they appear on. The air date is looked up from the plan, so moving an episode never leaves a guest pointing at the wrong week. Anyone asked more than two weeks ago with no reply turns red.

Sponsors, with cost per thousand worked out

The Sponsors tab is a sponsor tracker for 60 sponsor reads, each with fee, status and platform. It divides the fee by downloads on that platform to give cost per thousand downloads, the figure that tells you whether to ask for more next time.

Goals, cadence and money

  • Cadence: how often you publish, measured against your goal week by week and per platform
  • Pillars: the share of episodes you wanted for each theme against the share you got
  • Finance: earned, cost and kept, and what that comes to per published episode
  • The Show, Goals, Ideas and Platform Analytics: the rest of the plan, with a dashboard reading all of it
  • Start Here and Setup: setup in a few minutes

Works with

  • Microsoft Excel 2016, 2019, 2021 and Microsoft 365, on Windows and Mac, and LibreOffice
  • Google Sheets with a free Google account. The Google Sheets version is a real workbook you copy, not a PDF with a link in it.
  • No dynamic arrays, no macros, no add-ins and no subscription

What you download

  • Two Excel files: a worked eight months with 26 ideas turned into 65 releases, 51 published, 128,250 downloads, twenty guests and ten sponsors, and a blank copy
  • The instruction guide, which has one-click links to the Google Sheets versions
  • The terms of use as a PDF

Your files are ready the moment payment clears. The planner is for personal and business use on your own devices, so please do not share or resell the files. Questions? Reach us through our contact page.

Frequently asked questions

Do I need Excel, or can I use Google Sheets?

Either. The download has Excel files for Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to copy the Google Sheets versions with a free Google account.

How does it work out sponsor cost per thousand downloads?

Each sponsor read records its fee and platform. The sheet divides the fee by the downloads on that platform to give the cost per thousand.

What happens to a guest if I move their episode?

The guest's air date is looked up from the episode plan, so it follows the episode to its new week automatically.

Can I track clips and other cuts of an episode?

Yes. Clips, the newsletter and the YouTube cut each get a row that carries the original idea, and the Repurposing tab shows how much each idea has been used.

Which podcast stats can I record?

Downloads, reviews, follows, saves and shares per episode, with engagement rate calculated and ranked by format, platform, pillar and funnel stage.
