About this template

This real estate transaction tracker puts every contingency date on the deal row and only turns a date red when it is a genuine miss. It is for transaction coordinators and agents juggling many open files who need to see which deadline needs attention this morning.

Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).

Five contingency dates on every row

A property, a stage and a closing date is not enough for a transaction coordinator. The dates in between are the job. Each transaction carries five contingency dates:

  • Inspection, appraisal, title and survey, financing, and final walkthrough
  • Each worked out as the contract date plus a number of days you set once on Setup
  • All five appear as soon as you type the contract date

Contingency periods differ by contract and by state. The day counts are yours to set on Setup; the defaults are a starting point, not legal advice.

Deadlines that only go red when they matter

A date turns red only if it has passed and the deal has not reached that stage yet. A file in financing has its inspection date behind it because it passed inspection, so it is not counted as a miss. That keeps the past-deadline count honest instead of a sea of red that gets ignored.

  • Amber when a deadline is inside three days
  • Deadlines past, counted
  • Deals closing in the next 14 days on the KPI strip, a built-in closing tracker

Fees in play and volume

The tracker doubles as a commission tracker.

  • 120 transactions with side, price, commission and stage
  • Commission percentage per side and fee per file
  • The total of every fee on deals that have not closed, plus volume under contract
  • 60 clients behind the pipeline

The business behind it

A TC runs a business, not just a calendar, so this realtor spreadsheet carries the books as well.

  • Income and Expenses: both registers
  • Monthly, Quarterly and Profit and Loss: totals by period
  • Balances and Dashboard: account balances and the full picture
  • Start Here and Setup: setup in a few minutes

Works with

  • Microsoft Excel 2016, 2019, 2021 and Microsoft 365, on Windows and Mac, and LibreOffice
  • Google Sheets with a free Google account. The Google Sheets version is a real workbook you copy, not a PDF with a link in it.
  • No dynamic arrays, no macros, no add-ins and no subscription

What you download

  • Two Excel files: a worked pipeline of twelve files with nine under contract, three closings inside two weeks and three deadlines genuinely missed, and a blank copy
  • The instruction guide, which has one-click links to the Google Sheets versions
  • The terms of use as a PDF

Your files are ready the moment payment clears. The tracker is for personal and business use on your own devices, so please do not share or resell the files. Questions? Reach us through our contact page.

Frequently asked questions

Do I need Excel, or can I use Google Sheets?

Either. The download has Excel files for Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to copy the Google Sheets versions with a free Google account.

How are the contingency dates calculated?

Each is the contract date plus a number of days you set on Setup, for inspection, appraisal, title and survey, financing and final walkthrough.

Will a date go red after the deal has moved past it?

No. A date only turns red if it has passed and the deal has not reached that stage, and it turns amber when it is inside three days.

Are the default day counts right for my state?

Contingency periods differ by contract and by state. The day counts are yours to set, and the defaults are a starting point, not legal advice.

Does it track my fees?

Yes. It records commission per side and fee per file, and totals the fees on deals that have not closed along with volume under contract.
