About this template

This yoga studio bookkeeping spreadsheet is for yoga and Pilates teachers and studio owners who want classes, memberships and private sessions on separate lines. It also keeps retreats apart from the weekly timetable, so one good retreat cannot hide a slow quarter of classes.

Please read: This is a tracker tool only, not financial, tax, legal, medical or any other professional advice or advisory service. It records and calculates what you enter; you are solely responsible for checking all figures, rates, dates and results and for every decision you make. By purchasing, downloading or using it, you accept these terms (your statutory consumer rights are not affected).

Lines for a yoga or Pilates studio

Rather than the shop-style accounts of a generic ledger, the workbook opens on the categories a studio really uses.

  • Income lines: Class passes, Drop-ins, Memberships and Private sessions
  • Expense lines: Studio rent, Teacher fees, Equipment, and Music and licenses, and more
  • Mileage reasons: studio, retreat venue, training and corporate class, picked from a drop-down

A retreat is a business inside the business. Venue, catering and a deposit taken nine months early belong on their own lines, which helps with retreat planning and keeps the class figures honest.

Twelve connected tabs

Start Here, Setup, Clients, Income, Expenses, Mileage, Monthly, Quarterly, Estimated Tax, Profit and Loss, Balances and Dashboard.

  • 500 income rows and 500 expense rows
  • Mileage with your own reasons and the year totaled
  • Monthly and quarterly totals, which is how tax gets filed
  • Estimated tax set aside as you go
  • A profit and loss from the same two lists
  • 8 client records showing what each has been worth
  • Account balances, so the file knows what the business holds
  • A dashboard that reads it all

See a studio year filled in

The example copy runs through a full year with 340 income entries and 328 expense entries, ending at a 32.4% margin. The blank copy is ready for your own timetable. With memberships on their own line, it doubles as a simple membership tracker for income. The Start Here tab walks you through setup in a few minutes.

This is a bookkeeping spreadsheet, not an accountant. Tax rates and what you can claim are yours to set and yours to check.

Frequently asked questions

Can I use it in Excel or Google Sheets?

Either. The Excel workbooks run on Excel 2016 or later on Windows and Mac, and the instruction guide has one-click links to copy the Google Sheets versions with a free Google account.

Can I track class passes and memberships separately?

Yes. Class passes, Drop-ins, Memberships and Private sessions are separate income lines in every total.

Does it help with tax?

The Estimated Tax tab sets tax aside as you go at the rate you enter. Tax rates and what you can claim are yours to set and check.

Does it log travel to retreats and corporate classes?

Yes. The Mileage tab has reasons such as studio, retreat venue, training and corporate class, and totals the year.

Is there an example to follow?

Yes. One copy holds a worked year of 340 income and 328 expense entries, and the other is blank.
